Field Mappings

Navigation Menu

The Basics

ConnectLink allows you to control which fields the Agile data flows into during syncs and which dataset takes preference.

On the ConnectLink Setup tab, you can map data into standard or custom fields in the Account and Contact objects. If you’ve enabled Leads in the Settings menu, you can also map data for Leads.

Updating Data with ConnectLink

There are three ways to update records with Agile data:

  • The Updates menu on the ConnectLink Setup tab
  • Scheduled Bulk Updates
  • The ConnectLink Sync button for an individual record

Your field mapping preferences are used for all scheduled or on-demand Bulk Updates.

When syncing an individual record using the ConnectLink Sync button, a preview appears with the existing Salesforce value and the Agile value for each field. A checkbox indicates which data will be populated after the sync. Users can change the selection for one or multiple fields. If no changes are made, the preferences selected in the ConnectLink Setup tab will be used.

Which Records are Updated?

The integration can only update records with a valid ConnectLink Key.

Mapped fields are only updated for records with a ConnectLink Status of A (Active), with one exception. If the Agile Ed Null Overwrite preference is selected, the mapped email address will be updated to null for inactive personnel.

If any of the following are true, mapped fields will not be updated:

  • ConnectLink Do Not Update checkbox is checked
  • ConnectLink Status = U (Unlicensed)
  • ConnectLink Status = C or I (Closed or Inactive)

Note: Some integration-created fields will be updated for all records with a valid ConnectLink Key, including the ConnectLink Status, ConnectLink Licensed Status, and ConnectLink Last Sync Date.

Preferences

⚠️Important: To avoid frustration, ensure users have a place to store important information, such as email addresses or phone numbers, that the integration will not overwrite. If needed, map the data twice: once set to prefer Agile (with or without Null Overwrite) and once set to prefer Salesforce. We don’t recommend using the Agile Ed preferences for fields that users populate with self-gathered information, since the integration may overwrite the data.

Three options are available in the Prefer drop-down menu.

1) Agile Ed Null Overwrite

  • Overwrites existing data with Agile data
  • If the Agile data is null, the existing data will be removed

2) Agile Ed

  • Overwrites existing data with Agile data
  • If the Agile data is null, the existing data will not be removed

3) Salesforce

  • Existing data will not be overwritten
  • If the field is empty, it will be populated with Agile data
  • Note: if we populate an empty field, we will not update it further, unless it becomes empty again

We retired the Choose Agile Ed and Choose Salesforce options starting in version 4.8. If these were previously selected in your org, you may still see them. No change is required, but those options will no longer be available when you add new mappings or edit existing mappings.

Fields

Creating Custom Fields

Since hundreds of fields are available for use with ConnectLink, you will probably need to create new custom fields to store Agile data. Your account manager can provide a copy of our Data Dictionary, which lists all available fields, their corresponding data types, field lengths, descriptions, and other relevant details.

Here are a few tips for creating custom fields:

  • The maximum length for any number field is 18, including decimal places.
  • Percentage fields should be added as number fields in Salesforce, not as a percentage.
  • Do not use the currency data type.
  • Date Time fields can be created as date fields if you prefer not to display the time.
  • For UID fields, use a text field instead of a numeric field to prevent commas from appearing in the display.
    • Note: Ensure that other integrations, backups, and manual data loads don’t convert the text to numbers, or commas could be added.

Integration Created Fields

You don’t need to add mappings for fields created by the integration. These were created during installation and are populated automatically during updates.

ObjectIntegration Created FieldData Dictionary Field
AccountConnectLink KeyInst_UID
AccountConnectLink StatusInst_Status
AccountConnectLink File TypeFile_Type_Text
AccountConnectLink Parent KeyParent_UID
AccountConnectLink Main Parent KeyMain_Parent_UID
Contact, LeadConnectLink KeyPersonnel_UID
Contact, LeadConnectLink StatusPersonnel_Status

Redundant Fields

In the Data Dictionary, some fields present the same information in two different formats.  For most use cases, you only need one version. Pick the format that works best for your team and avoid adding extra fields that won’t be used.

There are three main ways you’ll see this:

  • Proper Case or All Caps
  • Text or Numeric Codes
  • Yes/No or Numeric Codes

Adding, Editing, and Deleting Mappings

Field mappings are managed from the ConnectLink Setup tab.

Update License Data

Any time fields are added or removed from your data license, you must select Update License Data from the Actions menu to update the available fields for mapping.

Add a New Mapping

  1. Navigate to the bottom of the section you want to add the mapping to – Institutions, Contacts, or Leads (if enabled).
  2. Fill out the new field mapping section. Select the ConnectLink field, the destination field in Salesforce, and your desired preference.
  3. Click Add Mapping.
  4. After you’ve added the mapping, the last field added will appear just above the mapping box.

Edit or Delete an Existing Mapping

  1. Click the Edit button in the row of the mapping you wish to change.
  2. In the box that pops up, make your changes and click Save.
  3. If you want to delete a mapping entirely, use Delete instead of Edit.
