Agile ConnectLink™
ConnectLink allows you to control which fields the Agile data flows into during syncs and which dataset takes preference.
On the ConnectLink Setup tab, you can map data into standard or custom fields in the Account and Contact objects. If you’ve enabled Leads in the Settings menu, you can also map data for Leads.
There are three ways to update records with Agile data:
Your field mapping preferences are used for all scheduled or on-demand Bulk Updates.
When syncing an individual record using the ConnectLink Sync button, a preview appears with the existing Salesforce value and the Agile value for each field. A checkbox indicates which data will be populated after the sync. Users can change the selection for one or multiple fields. If no changes are made, the preferences selected in the ConnectLink Setup tab will be used.
The integration can only update records with a valid ConnectLink Key.
Mapped fields are only updated for records with a ConnectLink Status of A (Active), with one exception. If the Agile Ed Null Overwrite preference is selected, the mapped email address will be updated to null for inactive personnel.
If any of the following are true, mapped fields will not be updated:
Note: Some integration-created fields will be updated for all records with a valid ConnectLink Key, including the ConnectLink Status, ConnectLink Licensed Status, and ConnectLink Last Sync Date.
Important: To avoid frustration, ensure users have a place to store important information, such as email addresses or phone numbers, that the integration will not overwrite. If needed, map the data twice: once set to prefer Agile (with or without Null Overwrite) and once set to prefer Salesforce. We don’t recommend using the Agile Ed preferences for fields that users populate with self-gathered information, since the integration may overwrite the data.
Three options are available in the Prefer drop-down menu.
1) Agile Ed Null Overwrite
2) Agile Ed
3) Salesforce
We retired the Choose Agile Ed and Choose Salesforce options starting in version 4.8. If these were previously selected in your org, you may still see them. No change is required, but those options will no longer be available when you add new mappings or edit existing mappings.
Since hundreds of fields are available for use with ConnectLink, you will probably need to create new custom fields to store Agile data. Your account manager can provide a copy of our Data Dictionary, which lists all available fields, their corresponding data types, field lengths, descriptions, and other relevant details.
Here are a few tips for creating custom fields:
You don’t need to add mappings for fields created by the integration. These were created during installation and are populated automatically during updates.
| Object | Integration Created Field | Data Dictionary Field |
|---|---|---|
| Account | ConnectLink Key | Inst_UID |
| Account | ConnectLink Status | Inst_Status |
| Account | ConnectLink File Type | File_Type_Text |
| Account | ConnectLink Parent Key | Parent_UID |
| Account | ConnectLink Main Parent Key | Main_Parent_UID |
| Contact, Lead | ConnectLink Key | Personnel_UID |
| Contact, Lead | ConnectLink Status | Personnel_Status |
In the Data Dictionary, some fields present the same information in two different formats. For most use cases, you only need one version. Pick the format that works best for your team and avoid adding extra fields that won’t be used.
There are three main ways you’ll see this:
Examples:
| Field | Example Data |
|---|---|
| District Type Text | Charter Agency |
| District Type | 7 |
| Institution Name Proper | East High School |
| Institution Long Name | EAST HIGH SCHOOL |
| ESL Program – Yes No | Yes |
| ESL Program | 1 |
| Grade Level Text | Elementary School |
| Grade Level | 1 |
Field mappings are managed from the ConnectLink Setup tab.
Any time fields are added or removed from your data license, you must select Update License Data from the Actions menu to update the available fields for mapping.
